Challenge:

Dalhousie University Alumni relied on manual methods for all aspects of event management ranging from registration, attendee management and analyzing post event data. For their smaller events this could take a day and for larger events this could take days or weeks. The manual work was taxing on their team, whose efforts were needed to focus on the department’s larger engagement efforts. Dalhousie Alumni also took the details of their events very seriously and wanted to ensure that during the day of the event they knew who was in the room so they could properly recognize VIP alumni and cultivate a welcoming, personalized experience.

Solution: 

Dalhousie University implemented Attend over a year ago and has used the platform for more than 200 events in various regions. The primary part of the Attend platform Dalhousie benefits from include:

  • Simplified attendee management -  Event managers quickly and easily add invitee lists, send email invitations and event reminders, instantly print name tags during check-in and create surveys to solicit feedback.

  • Increased attendee satisfaction with mobile features - Share event details on tablets and smartphones, check-in attendees using an iPad, and receive text alerts when VIPs arrive.

  • Event Intelligence - Data driven engagement is becoming a top priority for universities this year. Without a data driven strategy, event planning and analysis is based on gut feeling. With Attend's event intelligence, organizations are able to analyze the event and use that data to drive and measure engagement.

Results:

Dalhousie is using the solution to manage events as part of their larger alumni engagement strategy. The use of the platform is helping support event attendance growth of 40% annually.

“At the end of the formal part of our events, we recognize the alumni in attendance who are celebrating milestone years. We typically call out their names and provide them with pins,” Perry explained. “This is a very popular part of our event, both for those receiving recognition, as well as those in attendance. When we deployed Attend, we started using the text notification function to let us know when milestone year alumni checked into the event. This has allowed us to quickly determine who is in attendance and call out their names appropriately. In several instances, alumni on these lists had checked in during the formal speaking portion of the evening. With the text notification, we were able to quickly add them to the list of alumni announced, providing a better event experience for everyone in attendance.”

And for Dalhousie, it’s this seamless experience that not only shows professionalism, but a respect for alumni.

“Alumni have been very impressed…it’s a progressive use of technology, which helps paint a picture of sophistication and organization at the events, elevating a guest’s experience, and his or her impression of the organization,” said Perry.

“This automation dramatically reduces the workload of our team, allowing them to focus their time and effort on other initiatives to expand and improve our event programming,” Perry concluded.
